To offboard an item from an employee, follow these steps:
1. Update Contact Information
Ensure the employee’s personal email and phone number are added to their profile.
2. Go to Employee Management Tab
On the left-hand menu, click on the "Asset Management" tab.
3. Select the Employee
Find the employee you want to offboard an item from and click "Manage Asset."
4. Offboard the Item
Click "Offboard Assets."
5. Choose the Item
Select all items or the specific item you wish to offboard.
6. Provide Contact Details
Click "Next" and enter the employee's personal email and phone number.
7. Enter Address (if needed)
If the employee hasn’t registered yet, you’ll need to enter their address details too.
8. Finalize Offboarding
Once all the information is validated, click "Offboard Employee." Important: Do not click "Deactivate and Offboard Employee" as this will deactivate their account.
What happens next?
1. Support Team Contact
Once you have clicked either on "Offboard Employee" or "Deactivate and Offboard Employee," our support team will promptly contact the employee to verify the offboarding details, including the address and whether they already have packaging for the return.
2. Logistics Partner Contact
Within the next 3 days after confirming the details, our logistics partner will reach out to the employee directly.
3. Standard Process for Returning Items
The standard process to offboarding an item involves the employee returning the items at the postal office after receiving the label for drop-off. You can find further information on the offboarding process and status updates here.
What does the offboarding process look like for my employee?
1. Employee Confirmation Email
The offboarding employee will receive an email asking them to confirm their details. They can also indicate if they need packaging for their item(s) or would like a courier to pick up the equipment directly from their home.
2. Logistics Partner Contact
The employee must click the "Confirm Details" button in the email to proceed with scheduling the return. This step is essential for our logistics partner to arrange the pick-up or shipping. Updates on the process will be sent via email.
3. Reminders for Confirmation
If the employee does not respond within 3 days, we’ll send two reminder emails over the next 7 days. If there’s still no response, we’ll notify the HR and IT manager about the incomplete offboarding process. The offboarding ID will remain in a failed state unless the HR/IT manager or the employee requests to reopen it.
4. Final Arrangements
After the "Confirm Details" button is clicked, our logistics team will reach out to schedule the pick-up or provide a return label. If packaging is requested, it will be sent directly to the employee.
